From the moment Saltwater Brewery was founded in 2013, they made sure their mission statement came through in everything they did, including the name of the business. Saltwater’s passion was to make quality craft beer and advocate, fund raise, and educate about ocean conservation by working with various Ocean based non-profits. It’s no secret that our oceans are suffering from huge amounts of plastic waste, and Saltwater wanted to find a way that a brewery could help. So Saltwater began development of the Eco 6-Pack Ring (E6PR) – a biodegradable packaging made from the spent grain of the brewing process. It’s safe for animals to ingest and will break apart in the water. As of this year, Saltwater has replaced 100% of their 6-pack packaging with the E6PR. The viral success of the E6PR has led to growth for the company and a way to live out the values on which they were founded. Saltwater’s viral video now has 28 billion global impressions and has brought incredible awareness to the crisis of plastic in our oceans.

Control4 had a tax software provider, but it just wasn’t doing taxes right. There was significant compliance Risk because sales transactions were missing from our providers’ database.  We were spending huge amounts of time doing manual data dumps and uploading it back into a database in a CSV format.  Avalara connects directly to SAP so that we could identify invoices that failed to send and upload the ones they need.  Avalara’s reporting environment was more efficient when running reconciliations on taxes.

With Avalara, we have almost instantaneous data rather than waiting days for our data uploads to reflect in the database. Previously, reporting, tax return prep, and payment remits were done by 3 different entities.  Avalara does all 3 of those directly for us.  CertCapture sealed the deal.  We were manually collecting and uploading tax exemption certificates from each of our dealers.  CertCapture allows our dealers to do it on their own. This saves us $25K in person hours and effort to do that.

During implementation, we hit a snag with the Bill of Materials (BOMs): We found out far too late that SAP B1 does not do Fixed Costs. We had two challenges, finding a way to get fixed costs into SAP B1, and secondly, try to explain to two SAP partners what a fixed cost is.

Our first partner wanted to charge us a lot of money to implement, even though they did not understand what fixed costs were. After we sacked them, our second partner said it was coming in the next version only to find that fixed assets was coming in the new version, not fixed costs.

When looking for a consultant to fix another problem, the consultant told us to get Boyum B1 UP instead.  We found that gave us the tools to deal with fixed costs. I implemented a solution which makes a new Cost Calculation to take into account Fixed costs.  In this session, I’ll go through that solution.

Approximately 8 years ago HTRI purchased their first SAP Business One licenses and embarked on the task of converting the variety of applications, tools, spreadsheets and other processes to all fit within the Business One landscape. Within 3 years the task was complete, well almost complete.

Core Business One did not provide the tools the sales team needed to effectively execute their job. Mobility, automation and tools that our users expect in today’s landscape were not available. After another couple years of no progress, the decision to purchase Hubspot licenses and integrate SAP with a mature Hubspot API was executed.

HTRI launched an integration in the end of May 2018 which includes a tool to handle reconciliation of data between the two systems as well as an extension that surfaces additional data within the Hubspot tool.

Finally, the sales staff is happy.

At Samuel Hubbard Shoe Company much of our fulfillment process was being done manually.  We were emailing pick tickets to our warehouse, receiving piles of paperwork daily to confirm shipments, and manually editing invoices and emailing to customers. As the business grew and we began working with larger customers, we created an EDI interface setup with Business One to fulfill those orders, but the internal process was time consuming and often resulted in hefty chargebacks due to EDI compliance errors.

The main component of automating our fulfillment was integrating EDI with our warehouse.  We ended up switching EDI companies and fully integrating with our warehouse using EDI 940/945.  In addition, we worked with Business One developers and consultants to automate the creation of pick tickets and invoices, resulting in an overall seamless fulfillment automation process from order to invoice.

As a business user who is self-trained in SAP - and IT in general - the whole process of this implementation left some key takeaways and topics that others could learn from, including:

  • How to best select the vendors and consultants for the project
  • Allocating the proper resources and time internally and externally to complete the project
  • The need for a hands-on approach to project management and development (even down to reviewing XML and EDI code, highlighting the issues and instructing the developers what to fix)
  • Tips for success when working with multiple vendors and stakeholders.

  • Fulfillment automation in B1 from the Sales Order to the Invoice – resulting in a dramatic increase in efficiency across multiple internal departments.

The retail landscape has changed. Amazon and other third-party marketplace, have forever changed the way customers interact with brands and buy goods. In this environment, businesses must learn quickly and constantly innovate to compete in this new, omnichannel world of retail.

Vibram Corporation has taken these lessons to heart.

Throughout 2015, as sales shifted away from traditional brick & mortar dealers, consumers were still buying, but they were spending more time doing so online. This shift prompted Vibram to begin selling directly to Amazon by late 2015. They represented a clear opportunity to increase distribution, and spurred Vibram to explore new avenues for distribution via other eComm channels. In 2016, Vibram expanded its EDI portfolio to include dropship capabilities. This became a useful incentive for sales conversations, and allowed Vibram to expand distribution to larger accounts, while also growing their presence at brick & mortar.

With greater exposure to the eComm environment, Vibram realized its own B2C platform was woefully inadequate, and in late 2016, Vibram decided to completely re-tool. By integrating with Demandware, Vibram rebuilt their website, improved UX, and increased data capture resources. Better data revealed a need for improved analytic tools, and Vibram integrated SAP Business Objects (a business intelligence program) in 2017. With automated, on-demand, and ad hoc KPI reporting, Vibram can recognize market trends more quickly, and analyze strategic sales opportunities in real-time.

Preparing for a patch or version upgrade is not trivial in SAP Business One. A diversity of complex add-ons contribute to this process having many different variables and aligning them all for a successful result is where the preparation has a pay-off.

This process starts by selecting the version you would like to implement along with two possible dates.  The appropriate patch level will be selected only after effective communication with all add-on vendors. It is very important to share why you would like to migrate to that version as well as the new features and positive outcomes this project will have. Validate if the add-on version will be in place by the time you would like to upgrade. It is prudent to avoid implementations at the end of the business quarter and the end of the month.

Select the head of departments for the internal team that will shape your round(s) of testing.  Communicate to them the need to prepare a script for the testing that considers all scenarios that encompass their daily work. Prepare a map for everything included in your SAP Implementation; pinpoint priorities by assigning what cannot wait and what could be broken and fixed after the upgrade.

Implementing a patch or version upgrade can cause serious operational outages during the actual implementation but it will also yield great improvements and additions. Preparation and communication are the main components for having a successful implementation. With thoughtful and organized preparation, you can ensure this process will have positive ROI.

Vision Engraving & Routing Systems sells CNC machines with numerous options and additions that often change depending on other options and additions. In addition, the Pet tag side of the business has well over 2,000 different varieties of tags for customers. Initially all of this was done with the knowledge of the employees and time. In sales it could take 20 – 30 minutes to create a quote for a customer and many times sales had the right “ideas” but the wrong part numbers and pricing. Identifying and fixing all the errors could take days to complete.

When we implemented SAP we implemented a configuration add on from Experlogix. This reduced the time and errors even further than the spreadsheet but was a separate database that we had to maintain. Finally, we implemented CIS Configurator and its direct connection to SAP eliminates maintaining the separate database with part numbers and different pricing structures.

Sales produced 5,941 quotes in 2017 and it takes an average of 2 minutes to complete a quote.  Given the 20-30 minutes with the old method we saved over 2,000 hours of work or almost one full time person.  Tech support produced 7,471 quotes last year and even at the conservative savings of 30 minutes each that saved over 3,700 hours.  That is another 1.5 full time employees.  Considering salary and benefits for 2.5 to 3 employees that is a savings of almost $150,000 per year.  Add on the time saved by eliminating errors and that number is probably over $200,000 per year.

Legacy’s headquarters is located in Niceville, Florida and has 6 other locations.

TLCC is committed to excellence in what they do and in the service they provide to their customers. It is this commitment to end to end customer service that was the key driver to looking at internal processes.

One main area for improvement was their “cost/sell” process for order pricing configuration. TLCC had a very complex Excel based order and pricing configurator. Although the Excel spreadsheet had served TLCC well initially, business growth and related complexities dictated the need for a more robust application with business rules and workflow capability that could scale and address additional business improvement opportunities. TLCC asked Configurable Management to automate and streamline the cost/sell process for order configuration and pricing and to interface the application with the existing SAP B1. Our Service Center has high volumes of serialized repairs. We created a button that automatically creates Customer Equipment Cards and Service Calls based on the data within the A/R Return. Next is automatically creating Sales Quotes/Orders. Essentially adding “Copy-To” functionality to documents where it is normally non-inherent. This has reduced paper usage and time spent processing A/R returns. In this presentation I will outline how we used buttons in a simple way that adds significant value to our business and the improvements of processes that have come as a result if the initiative.

McRoskey Mattress Company is a family owned manufacturer and retailer of handcrafted mattresses and box springs.  We wanted one computer solution that could handle all business functions including: multi-location Point of Sale, inventory, warehousing, production (make to stock, make to order), fulfillment, and general ledger.  We chose SAP Business One with two addons 1) Boyum-IT for automation, 2) CBS for all credit card transactions.  As a small company we needed an application that could be supported by an in-house IT staff of one person.  The combination of Vision33, Boyum-IT and CBS has allowed us keep to a staff of one for all technical support needs.

Control4 Takes Control of Taxes and Filings & Saves $25k

Control4 had a tax software provider, but it just wasn’t doing taxes right. There was significant compliance Risk because sales transactions were missing from our providers’ database.  We were spending huge amounts of time doing manual data dumps and uploading it back into a database in a CSV format.  Avalara connects directly to SAP so that we could identify invoices that failed to send and upload the ones they need.  Avalara’s reporting environment was more efficient when running reconciliations on taxes.

With Avalara, we have almost instantaneous data rather than waiting days for our data uploads to reflect in the database. Previously, reporting, tax return prep, and payment remits were done by 3 different entities.  Avalara does all 3 of those directly for us.  CertCapture sealed the deal.  We were manually collecting and uploading tax exemption certificates from each of our dealers.  CertCapture allows our dealers to do it on their own. This saves us $25K in person hours and effort to do that.

Emerging Workforce Reverse Panel with the SAP Business One Candidates of Saint Vincent College

This one-hour reverse panel session will comprise six to eight students divided over two 30-minute panels.  A senior, who has already completed an SAP Business One Internship, will guide each panel.  A few questions will be prepared in advance and then questions from the audience will be solicited.  These 20 – 25 year-old business and computer science students will provide their answers and opinions on an assortment of technical and workforce related questions so the audience can gain an appreciation of the skills, personality and approach to the workplace of young employees about to enter the workforce.

SDL and the Amazing Quest for Fixed Costs

During implementation, we hit a snag with the Bill of Materials (BOMs): We found out far too late that SAP B1 does not do Fixed Costs. We had two challenges, finding a way to get fixed costs into SAP B1, and secondly, try to explain to two SAP partners what a fixed cost is.

Our first partner wanted to charge us a lot of money to implement, even though they did not understand what fixed costs were. After we sacked them, our second partner said it was coming in the next version only to find that fixed assets was coming in the new version, not fixed costs.

When looking for a consultant to fix another problem, the consultant told us to get Boyum B1 UP instead.  We found that gave us the tools to deal with fixed costs. I implemented a solution which makes a new Cost Calculation to take into account Fixed costs.  In this session, I’ll go through that solution.

Convincing Your Sales Team to use SAP: A Story About Integrating Hubspot and Business One

Approximately 8 years ago HTRI purchased their first SAP Business One licenses and embarked on the task of converting the variety of applications, tools, spreadsheets and other processes to all fit within the Business One landscape. Within 3 years the task was complete, well almost complete.

Core Business One did not provide the tools the sales team needed to effectively execute their job. Mobility, automation and tools that our users expect in today’s landscape were not available. After another couple years of no progress, the decision to purchase Hubspot licenses and integrate SAP with a mature Hubspot API was executed.

HTRI launched an integration in the end of May 2018 which includes a tool to handle reconciliation of data between the two systems as well as an extension that surfaces additional data within the Hubspot tool.

Fulfillment Automation Using EDI: Overcoming the Challenge of Implementation at Samuel Hubbard

At Samuel Hubbard Shoe Company much of our fulfillment process was being done manually.  We were emailing pick tickets to our warehouse, receiving piles of paperwork daily to confirm shipments, and manually editing invoices and emailing to customers. As the business grew and we began working with larger customers, we created an EDI interface setup with Business One to fulfill those orders, but the internal process was time consuming and often resulted in hefty chargebacks due to EDI compliance errors.

The main component of automating our fulfillment was integrating EDI with our warehouse.  We ended up switching EDI companies and fully integrating with our warehouse using EDI 940/945.  In addition, we worked with Business One developers and consultants to automate the creation of pick tickets and invoices, resulting in an overall seamless fulfillment automation process from order to invoice.

As a business user who is self-trained in SAP - and IT in general - the whole process of this implementation left some key takeaways and topics that others could learn from, including:

Throughout 2015, as sales shifted away from traditional brick & mortar dealers, consumers were still buying, but they were spending more time doing so online. This shift prompted Vibram to begin selling directly to Amazon by late 2015. They represented a clear opportunity to increase distribution, and spurred Vibram to explore new avenues for distribution via other eComm channels. In 2016, Vibram expanded its EDI portfolio to include dropship capabilities. This became a useful incentive for sales conversations, and allowed Vibram to expand distribution to larger accounts, while also growing their presence at brick & mortar.

With greater exposure to the eComm environment, Vibram realized its own B2C platform was woefully inadequate, and in late 2016, Vibram decided to completely re-tool. By integrating with Demandware, Vibram rebuilt their website, improved UX, and increased data capture resources. Better data revealed a need for improved analytic tools, and Vibram integrated SAP Business Objects (a business intelligence program) in 2017. With automated, on-demand, and ad hoc KPI reporting, Vibram can recognize market trends more quickly, and analyze strategic sales opportunities in real-time.

Make Your Upgrade Painless: Best Practices from FOH

Preparing for a patch or version upgrade is not trivial in SAP Business One. A diversity of complex add-ons contribute to this process having many different variables and aligning them all for a successful result is where the preparation has a pay-off.

This process starts by selecting the version you would like to implement along with two possible dates.  The appropriate patch level will be selected only after effective communication with all add-on vendors. Vision Engraving Saves $200k by Making Business One Faster & Better with Configurator

Vision Engraving & Routing Systems sells CNC machines with numerous options and additions that often change depending on other options and additions. In addition, the Pet tag side of the business has well over 2,000 different varieties of tags for customers. Initially all of this was done with the knowledge of the employees and time. In sales it could take 20 – 30 minutes to create a quote for a customer and many times sales had the right “ideas” but the wrong part numbers and pricing. Identifying and fixing all the errors could take days to complete.

When we implemented SAP we implemented a configuration add on from Experlogix. This reduced the time and errors even further than the spreadsheet but was a separate database that we had to maintain. Finally, we implemented CIS Configurator and its direct connection to SAP eliminates maintaining the separate database with part numbers and different pricing structures.

Sales produced 5,941 quotes in 2017 and it takes an average of 2 minutes to complete a quote.  Given the 20-30 minutes with the old method we saved over 2,000 hours of work or almost one full time person.  Tech support produced 7,471 quotes last year and even at the conservative savings of 30 minutes each that saved over 3,700 hours.  That is another 1.5 full time employees.  Considering salary and benefits for 2.5 to 3 employees that is a savings of almost $150,000 per year.  Add on the time saved by eliminating errors and that number is probably over $200,000 per year.

Our Service Center has high volumes of serialized repairs. We created a button that automatically creates Customer Equipment Cards and Service Calls based on the data within the A/R Return.
